# Concierge

> Your comprehensive daily operations dashboard for managing travel services. See active services across confirmed Journeys in one centralized view.

## Overview

  The Concierge screen is your central hub for day-to-day operations, automatically displaying all services from confirmed Journeys. It pulls together everything happening on any given day, allowing you to navigate easily between dates and manage all your daily activities from one place.

## What is the Concierge Screen?

The Concierge screen is your **operational command center**. Instead of opening individual Journeys to see what's happening today, the Concierge automatically collects all services from all confirmed Journeys and displays them chronologically by date.

**Think of it as:** Your daily to-do list for all active trips combined.

**Common uses:**

* Morning briefing - see everything happening today
* Pre-trip checks - review upcoming services tomorrow or next week
* Status updates - quickly update multiple services across different trips
* Supplier communication - contact suppliers about today's services

## Navigation & Display

    * **Default view:** Current day (today)
    * **Arrow buttons:** Move forward/backward one day at a time
    * **Calendar date picker:** Jump to any specific date or select a date range
    * **"Today" button:** Quickly return to today's view

    The Concierge shows services for the selected date(s) across all confirmed Journeys.

    **How services are shown:**

    * **Chronological listing** by start time (earliest first)
    * **Journey access:** Click <Icon icon="arrows-turn-to-dots" /> to open the full Journey
    * **Status indicators:** Same service status system as confirmed Journeys (Ready, PO Sent, Confirmed, etc.)
    * **Task tracking:** See associated tasks in the task column

    Each row represents one service from one confirmed Journey.

## Service Information

Every service in the Concierge displays key operational details:

    | Tasks         | Associated tasks            | Shows task count and completion status          |

    **Interactive elements:** Traveller names and agent names are clickable links to their full profiles.

    **Monitor service progress with:**

    * **Current status indicator** - Visual badge showing service status
    * **Message history** - Open the service details to view all communications
    * **Associated tasks** - See task count in the task column, click to view details

    **Status options** (same as confirmed Journeys):

    * Ready
    * PO Sent
    * Confirmed
    * To Change
    * Cancelled
    * Completed

    You can update status directly from the Concierge by clicking on a service.

## Communication Hub

Contact travellers and suppliers directly from the Concierge:

    * Select one or more services for the same traveller
    * Click 'Contact Traveller'
    * Send messages about the selected services

    Useful for: Check-ins, reminders, updates, confirmations

    **Two ways to contact suppliers:**

    **Single service:**

    1. Open a service
    2. Click 'Contact Supplier'
    3. Send message about that specific service

    **Multiple services (same supplier):**

    1. Select all services with the same supplier
    2. Click 'Contact Supplier'
    3. Send one message regarding all selected services

    Useful for: Reconfirmations, updates, changes, cancellations

    **Track all communications:**

    * Click on any service to view message history
    * See all past communications with timestamp
    * Thread history shows all messages sent and received
    * Filter by traveller or supplier messages

    All messages are logged and timestamped.

<Tip>
  **Bulk messaging:** When selecting multiple services for messaging, ensure they belong to the same traveller or supplier. The contact button automatically disables if you select services from different travellers/suppliers to prevent sending incorrect messages.

## Reminder History & Tracking

### Viewing Reminder History

Track all reminder communications with suppliers:

### Date Navigation

Navigate through reminder dates efficiently:

* **Date Pills**: Click any date to jump to that day's reminders
* **Today Button**: Quickly return to current date
* **Arrow Navigation**: Move forward/backward through dates
* **Calendar Picker**: Select any specific date

  Use the date navigation to review past reminders or plan ahead for upcoming supplier communications.

### Reminder Details

Click any reminder to see:

* Full service information
* Supplier contact details
* Reminder email content
* Send status and timestamp
* Any error messages

<Note>
  Reminder logs are kept for 90 days for audit and tracking purposes.
</Note>

## Organization Tools

### Filtering Options

Organize your Concierge view to focus on what matters:

        **Order services chronologically:**

        * Default: Earliest to latest start time
        * Services displayed in the order they occur throughout the day
        * Makes it easy to see your daily schedule flow

        * Multi-select available

        * Select a specific supplier
        * See only services provided by that supplier
        * Useful for bulk messaging or supplier-specific tasks

        **Filter by traveller:**

        * Select a specific traveller
        * See only services for that traveller's trip
        * Best for managing individual traveller needs
      </Card>

      <Card title="Owner" icon="user-tie">
        **Filter by Journey owner:**

        * Select a team member
        * See only services from Journeys owned by that person
        * Best for team coordination and workload management
      </Card>

## Service Management

    **Perform actions directly from the Concierge:**

    * **Update service status** - Click service, change status dropdown
    * **Access Journey details** - Click <Icon icon="arrows-turn-to-dots" /> to open the full Journey
    * **View traveller profiles** - Click traveller name to see full profile
    * **Track task progress** - Click task count to view/manage tasks

    No need to open the full Journey for quick updates.

  <Card title="Bulk Operations" icon="layer-group">
    **Select multiple services for batch actions:**

    * **Select services** - Check boxes next to multiple services
    * **Update status in batch** - Change status for all selected at once
    * **Send group messages** - Message supplier about multiple services
    * **Manage related tasks** - Handle tasks across multiple services

    **Requirements:** For messaging, all selected services must share the same traveller or supplier.

## Service Details Window

Click on any service to open detailed information:

    * **View and edit complete service details** - All fields (time, location, notes, description, etc.)
    * **View communication history** - All messages sent/received for this service
    * **Manage task assignments** - Tasks linked to this service
    * **View status updates** - History of status changes
    * **Access purchase order details** - PO information and supplier confirmations
    * **Make changes** - Edit any service field directly from the Concierge

    The service details panel opens on the right side of the screen. All edits automatically sync with the Journey.

    **Access full Journey context:**

    * Click the <Icon icon="arrows-turn-to-dots" /> icon next to the service title
    * Opens the complete Journey in a new view
    * **View trip summary** - See all services for this trip
    * **Make service adjustments** - Edit service details in the Journey
    * **Track related services** - See other services in the same trip
    * **Monitor overall progress** - Check trip-wide status

    **Use when:** You need to see or edit the broader trip context, not just this one service.

  **Quick Journey access:** Use the <Icon icon="arrows-turn-to-dots" /> button next to each service title for quick access to the full trip context and editing capabilities. All changes made in the Journey automatically sync back to the Concierge view.

## Concierge Workflows

    **Start your day with the Concierge:**

    1. **Check today's services** - Default view shows all services happening today
    2. **Review status** - Identify any services not yet confirmed
    3. **Contact suppliers** - Send reconfirmation messages for today's services
    4. **Check tasks** - Review any pending tasks for today
    5. **Update travellers** - Send any necessary communications to travellers

    **Pro tip:** Group by status to quickly see what needs attention.

    **Preparing for upcoming trips:**

    1. **Select date range** - View services for tomorrow or the upcoming week
    2. **Filter by status** - Focus on services that aren't confirmed yet
    3. **Bulk messaging** - Contact multiple suppliers about reconfirmations
    4. **Check details** - Review service times, locations, guest counts
    5. **Create tasks** - Add any pre-trip tasks that need completion

    **Pro tip:** Check 2-3 days ahead to catch any missing confirmations early.

    1. **Monitor in real-time** - Keep Concierge open to track today's services
    2. **Update status** - Mark services as completed as they finish

    5. **Document changes** - Add notes to services about any modifications

    **Pro tip:** Update status to "Completed" as services finish to track progress throughout the day.

    1. **Group by traveller** - See all services for each traveller together
    2. **Identify conflicts** - Check for overlapping services or issues

    **Pro tip:** The Concierge shines when you have 5+ active trips happening simultaneously.

## Common Questions

    **The Concierge shows services from:**

    * All **confirmed Journeys** (not completed)
    * For the **selected date or date range**
    * Across **all trips** your team is managing

    **Not shown:**

    * Completed trips (you can toggle to show/hide completed Journeys)
    * Unconfirmed Journey services

    If you expect to see a service but don't, check that the Journey is not marked as completed and the service date matches your selected date.

  <Accordion title="Can I edit services directly from the Concierge?" defaultOpen={false}>
    **Yes! You can edit services directly from the Concierge:**

    * Update status
    * Send messages
    * Manage tasks
    * **Edit service details** - Click on a service to open the service details panel where you can edit time, location, description, and all other service fields

    **To access full Journey context:**

    * Click the <Icon icon="arrows-turn-to-dots" /> icon to open the complete Journey
    * Useful when you need to see all services in the trip together
    * Changes made in either location automatically sync

    The Concierge provides full service editing capabilities - you don't need to open the Journey unless you want to see the broader trip context.

  <Accordion title="How do I send messages to multiple suppliers?" defaultOpen={false}>
    **To contact multiple suppliers:**

    **If same supplier:**

    1. Select all services provided by that supplier (check boxes)
    2. Click 'Contact Supplier'
    3. One message sent regarding all selected services

    **If different suppliers:**

    * You must contact them separately
    * The contact button disables if you select services from different suppliers
    * This prevents accidentally sending the wrong message to the wrong supplier

    **Best practice:** Filter or group by supplier, then select all their services for bulk messaging.

  <Accordion title="What's the difference between grouping by traveller vs. status?" defaultOpen={false}>
    **Group by Traveller:**

    * Services organized by which traveller they belong to
    * Alphabetically by traveller name
    * **Best for:** Managing traveller communications, checking on specific guests

    **Group by Status:**

    * Services organized by current status (Ready, Confirmed, etc.)
    * **Best for:** Identifying what needs action, batch status updates

    **Example use cases:**

    * Group by traveller: "Let me check on the Smith family's services today"
    * Group by status: "Let me see all services that still need confirmation"

  <Accordion title="Why can't I select services from different travellers for messaging?" defaultOpen={false}>
    **Safety feature to prevent errors:**

    When you select multiple services and click 'Contact Traveller', Odia sends one message to the traveller. If you selected services from different travellers, the system doesn't know which traveller to message.

    **The button disables** when you select:

    * Services from different travellers (for traveller messaging)
    * Services from different suppliers (for supplier messaging)

    This prevents you from accidentally sending:

    * The wrong message to the wrong person
    * Confusing messages about services that don't belong to that traveller/supplier
