# Travel Agents & Agencies

> Manage travel agency relationships, agent contacts, and partnership details. Track commissions and booking history.

## Overview

  Odia's Travel Agents & Agencies section helps you manage relationships with travel agent partners. Organize agencies, maintain agent contacts, track commissions, and view booking history all in one place.

### Archive and restore agencies

Use an agency's row actions to select **Archive**, then review the confirmation before continuing. The agency leaves the active list as the change is saved.

To bring an agency back:

1. Select **Show archived** below the list.
2. Open the archived agency's row actions.
3. Select **Restore**.

If the change cannot be saved, Odia returns the agency to its original list and shows an error.

## What Are Travel Agents & Agencies?

**Travel Agencies** are the companies that send you business - tour operators, travel agencies, and booking partners.

**Travel Agents** are the individual people who work at these agencies - the agents who create bookings and communicate with you.

**How they work together:**

* One agency (e.g., "Luxury Travels Inc.") can have multiple agents (Sarah, John, Maria)
* Each agent belongs to one agency
* Track relationships, commissions, and bookings at both levels

**Common uses:**

* Store agency commission rates
* Track which agents send you the most business
* Access booking history per agency or agent
* Use agency branding in Journeys
* Manage B2B relationships

## Travel Agencies

    3. **Agent Contacts** - Individual agents within agencies (e.g., "Sarah Johnson at Global Travel - Boston")

    **In the agency list:**

    * Click the arrow next to an agency to expand and see all agents
    * Click on an agency name to view detailed information and analytics
    * See parent/child relationships in the hierarchy

    **Use hierarchy for:**

    * Multi-location agencies with branch offices
    * Agency networks (parent company with multiple brands)
    * Consolidated reporting across locations
    * Shared commission structures

## Agency Details

Every agency profile includes:

  **Want dedicated fields for specific agency information?** If you find yourself repeatedly adding the same types of information to agency notes (like preferred payment terms, agency tier levels, or partnership agreements), you can create dedicated Custom Fields in Settings. ## Commission Rates

Manage commission structures for each agency:

    * Applied to all bookings from this agency

    2. Can be overridden per Journey
    3. The per-service **Commissionable** setting decides whether that service contributes to TA Commission. Supplier commission owed by a supplier is configured separately in the service price.

  **Use parent/child relationships to organize agency networks.** For example, a main agency in New York with branch offices in Boston and Philadelphia. This allows consolidated reporting while maintaining separate agent lists per location.

## Travel Agent Contacts

Individual agents who work at agencies:

    **Best practice:** Most common is to add agents during Journey creation - quick and automatically links them to the correct agency.

    **How to add a new travel agent from a Journey:**

    1. In the travel agent field, type the name of the travel agent you'd like to add
    2. Click **'Create new'** that appears in the dropdown
    3. At the top of the form, you'll see the Organization field
    4. To create a new travel agency organization, click the **'Create new'** box under Organization
    5. Fill in the agent details and select or create the agency
    6. Both the agent and organization (if new) are automatically added to your CRM

## Agency Branding in Journeys

Use agency branding to present professionally co-branded Journeys:

    **1. Co-branded (default):**

    * Both your logo and agency logo appear

    **2. White-label (optional):**

    * Enable "Hide branding" in Journey settings
    * Only agency logo appears
    * Your branding is hidden
    * Agency presents as if trip is entirely theirs

    **When to white-label:**

    * Agent wants to present under their own brand only

    * Enable "Hide branding" option in Journey for white-label mode

## Search & Filter

Find agencies and agents quickly:

    On the **Agencies** tab, select **Filter** to use visible travel-agency custom fields:

    * Choose one or more values from a visible multi-option field
    * An agency can match any selected value within the same field

    Filters across different fields work together, so an agency must match every active field. Text custom fields remain available on agency records but are not list filters. Use the chips above the list to remove one filter or clear them all. The archived toggle remains available separately.

  **New travel agents created during Journey creation are automatically added to your contacts.** Make sure to assign them to the correct agency afterward if you used quick-add. Open their profile and link them to the appropriate agency.

## Commission Workflows

End-to-end commission management:

    * All users can view all agencies and agents (company-wide visibility)

## Common Questions

    **Relationship:** One agency has many agents. Each agent belongs to one agency. When you create a Journey, you select an agent (which automatically links to their agency).

    **Commissionable** controls whether a service contributes to the Journey's **TA Commission**.

    * When enabled, Odia applies the service's TA rate or the Journey default to that service's commissionable amount.
    * When disabled, that service contributes no TA Commission.
    * This is separate from **Supplier commission**, which tracks money a supplier owes your organisation.
    * A supplier commission **Agent split** is an additional share of that supplier commission; it does not replace the service's normal TA Commission.
