What is Concierge?

The Concierge screen is your operational command center. Instead of opening individual itineraries to see what’s happening today, the Concierge automatically collects all services from all active itineraries and displays them chronologically.
Think of it as your daily to-do list for all active trips combined. It’s especially useful when you have multiple trips happening simultaneously.

How It Works

The Concierge pulls all services from active itineraries and displays them based on their date. By default, it shows today’s services, but you can switch between day, week, month, or year views. Common uses:
  • Morning briefing - see everything happening today
  • Pre-trip checks - review upcoming services this week or month
  • Status updates - quickly update multiple services across different trips
  • Supplier communication - send purchase orders or messages to suppliers
Choose how you want to view your services:

View Options

Select your time view:
  • Day - See all services for a specific day
  • Week - View services across a full week
  • Month - See the entire month’s services
  • Year - Annual overview of all services

Navigation

Once you’ve selected a view:
  • Use the dropdown to select which day, week, month, or year to view
  • Use arrow buttons to navigate forward or backward
  • Click “Today” button to quickly return to the current day
Start with Day view for your morning briefing, then switch to Week view for planning ahead.

Information Displayed

Each service row shows key operational details:

Opening Service Details

Click on any service row to open the service details panel where you can:

Edit Service Details

  • Update time, location, notes, description
  • All fields available to edit
  • Changes sync automatically with itinerary

Change Status

  • Update service status (Ready, Confirmed, Completed, etc.)
  • Status changes reflect in the itinerary immediately

Manage Tasks

  • View tasks linked to this service
  • Add new tasks or mark existing ones as complete
  • Track progress on service-related to-dos

Navigate to Itinerary

  • Click the itinerary button at the bottom of the service details panel
  • Opens the full trip in context
  • See all services together

Purchase Orders & Messaging

Send Purchase Orders

You can send purchase orders directly from the Concierge: Single service:
  1. Click on a service to open details
  2. Click “Purchase Order”
  3. Select/deselect fields to include
  4. Send to supplier
Multiple services (same supplier):
  1. Select checkboxes next to all services with the same supplier
  2. Click the purchase order button
  3. Send one purchase order for both services
Make sure all mandatory PO fields are filled out. The PO column shows if any fields are missing.

Send Messages

Contact Suppliers: Single service:
  1. Click on a service to open details
  2. Click “Contact Supplier”
  3. Send message about that specific service
Multiple services (same supplier):
  1. Select checkboxes next to all services with the same supplier
  2. Click the envelope icon
  3. Send one message regarding all selected services
Contact Travellers: Single or multiple services (same traveller):
  1. Select checkboxes next to services for the same traveller
  2. Click “Duty Message”
  3. Send both services in the same duty message
You can only select services from the same supplier or the same traveller. The buttons disable if you select services from different suppliers/travellers to prevent sending incorrect messages.

Filtering & Grouping

Organize your Concierge view to focus on what matters: Grouping Options:

Time

Shows services in chronological order throughout the day (default view)

Traveller

Groups all services by traveller name. Best for managing multiple trips and checking on specific guests.

Status

Groups services by status (Ready, Confirmed, etc.). Best for identifying what needs attention.
